Scanning and Archiving

The Ink Print Management secure archiving and retrieval service makes archiving easier whilst saving you money. You can choose to store hard or electronic copies with us. It's a service that is proving more and more popular particularly with large organisations such as the Royal Mail who we provide this service to, scanning motor insurance quotes, securely destroying the hard copies and electronically storing PDFs. How does it work?
Ideally we like to come to you to see the current processing of the documents you want to archive. From here we work out and trial the most cost effective document scanning and archiving solution, designed especially for your requirements.

Document Scanning
Ink Print Management can scan all documents up to A0 in monochrome, greyscale and colour, to a variety of file formats including most commonly: tiff, jpeg and pdf.

Files Supplied
Images can be supplied on CD-ROM or DVD, either as raw data in designated folders, or indexed in a fully searchable database, complete with document management software for use in all the current Windows operating environments.

Storage & Access
If preferable, we can store the files for you and you can access them by request via a web based storage system.

Secure disposal

All documents that do not continue to require archiving are disposed of securely as a matter of course. You can choose to archive by a choice of parameters:

Time: You can choose to store documents for a set period of time, after that period expires we'll either digitally delete them or destroy through a controlled disposal procedure for physical documents or CDs.

Physical Space: We allot you a set amount of warehouse space, once filled we'll destroy the oldest box first.

Disk Space: Usually when storing digitally the files are accessed via an ftp internet website where they'll either be stored for a set period of time, or to a set amount of disk space. In all cases we only dispose of the hard copies once we receive confirmation from you that you are satisfied with the digital back-ups provided.
